Document management with HyperDoc®
Document management with HyperDoc® includes all elements which comprise the life cycle of electronic documents, from the capture or creation of documents to their processing, retrieval, delivery and long-term archiving.
The requirements of the organization, the specific tasks of the departments and the requirements for compliance are considered in each phase of the document-based workflow.
- Entry: Incoming documents are recorded digitally, full text indexed and filed in the electronic archive. They can be found using search keys and displayed on the screen in seconds.
- Processing: Documents are forwarded automatically, and the workflows of the department are represented electronically. Documents are checked out for processing; this locks them for other users. Versioning documents each processing step. Documents are structured by filing in digital folders which can have multiple levels and be set up according to the requirements of the departments.
- Retrieval and delivery: Comprehensive retrieval functions facilitate index searching and hierarchical searching. To perform an index search, search keys are entered in the fields of an entry form. The result of the search is a list of all documents which meet the search criteria. Hierarchical searching is performed by selecting a folder in the directory tree and enables access to the documents filed in the folder.
- Archiving: The storage media selected for archiving are chosen based on data volume, security requirements, the complexity of the application and the budget. All archiving components offered satisfy the requirements for compliance with auditing standards and protect the archived documents against manipulation.
